1. Who We Are

Our website address is: https://arizonaoutdoorsclub.com. This website is intended for Arizona State University students and alumni 18 years of age or older. We value your privacy and want to be transparent about the information we collect, how we use it, and how we protect it.

2. What Personal Data Do We Collect?

We collect information in several ways depending on how you interact with our site:

  • Account Creation: When users create an account through the website, we collect first name, last name, username, email address, phone number, SMS event updates opt-in, discovery source (optional), newsletter preference (optional), waiver agreement, time of waiver agreement, IP address, country, browser type, and logged-in/logout details. We collect basic payment transaction details (payment type, membership plan type, payment date/time, and the last four digits of the card used).
  • Event & Trip Signups: We collect signup information including carpool groups, gear rentals needed, and voluntary trip reviews (which collect your account ID to prevent duplicate submissions).
  • Contact Us Form: When visitors or users submit a form on the Contact Us page, we capture the IP address for spam protection. We also capture the email address, first name, and comment provided by the user.
  • Event Suggestions: If you create, submit, import, save, or publish Event, Venue, or Organizer information, such information is retained in the local database: (1) Venue information: name, address, city, country, state, postal code, phone, website, geographical coordinates (latitude and longitude); (2) Organizer information: name, phone, website, email, associated account; (3) Event information: website, cost, description, summary, date, time, image, event type, sign-up sheet details. The event suggestion form collects your organizer information, account details, suggestion date/time, and any information explicitly provided in the form. When importing events, venues, and organizers, such information may be collected: (1) All data present within a CSV or ICS file and external URLs (for events, venues, organizers, and tickets); (2) Import origin data (URL from where events are being imported—such as Eventbrite, MeetUp, other compatible URL sources, and more, which can include similar or same data as listed above); (3) Eventbrite Ticket information: name, description, cost, type, quantity. Please note that to create new events through the Community Events submission form, a user must hold a website account on this domain. This information is retained in the local database. It is also possible to create events anonymously, if the site owner has this option enabled. When purchasing Eventbrite Tickets, attendee, purchaser, and order information are stored and managed by Eventbrite.
  • Event Registration: When signing up for trips or events, we may collect signup information including carpool groups and gear rentals needed. After the end date/time of trips or events, we may request voluntary trip reviews, including rating score and comments. These trip reviews will collect your account ID to prevent duplicate submissions.
  • How We Use This Data: We use your account information to manage your membership and process payments, to communicate with you about events, trips, and updates (if you opt in), to maintain records for administrative and legal purposes, to monitor login activity and protect accounts from unauthorized access, and to improve our website and services.

3. Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

4. Cookies and Tracking

  • Login Cookies: If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser. When you log in, we will set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
  • Analytics and Functionality: We may use cookies or similar technologies for site functionality, analytics, and service improvements. You can disable cookies in your browser settings, but some features may not work as intended.

5. Embedded Content from Other Websites

Articles and events on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website. These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

6. Who We Share Your Data With

We do not sell or rent your personal information. We only share information under the specific circumstances below:

  • Legal and Safety: We may share your information when required by law or legal request and when necessary to protect our rights or safety.
  • Identity Verification: Your account information may be communicated with the Arizona Outdoors Club Web Shop (https://shop.arizonaoutdoorsclub.com) for identity verification purposes. All data transmitted to the Arizona Outdoors Club Web Shop is subject to the Arizona Outdoors Club Web Shop Privacy Policy. Use of the Arizona Outdoors Club Web Shop is subject to the Arizona Outdoors Club Web Shop Terms and Conditions.
  • Administration: Account information and Contact Us data may be shared with club officers, workers, or contractors to perform necessary administrative or safety actions.
  • Password Resets: If you request a password reset, your IP address will be included in the reset email.
  • SMS Data Privacy: The above data-sharing categories exclude text messaging originator opt-in data and consent. Text messaging originator opt-in data and consent information will not be shared with or sold to any third parties or affiliates for marketing or promotional purposes.

7. How Long We Retain Your Data

For users that register on our website (if any), we indefinitely store the personal information they provide in their user profile and information explicitly collected when registering for an event. Website administrators can see and edit that information. When visitors or users submit a form on the Contact Us page, we retain the data indefinitely. All data provided for event signups and event creation purposes are retained indefinitely. Trip rating scores and review comments are retained indefinitely.

8. What Rights You Have Over Your Data

If you have an account on this site, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you by contacting us through our Contact Us form. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

9. Third Party Services

  • Spam Protection: We use Cloudflare Turnstile to protect our site from spam and abuse. Turnstile analyzes interactions with our site to determine if you are human, using signals such as browser characteristics, device settings, and cryptographic challenges. This process is designed to operate without tracking you across different websites or collecting personal data beyond what is necessary for verification. Use of Turnstile is subject to the Turnstile Privacy Policy, Cloudflare Privacy Policy, and Cloudflare Terms of Service.
  • Payments: We use Stripe to securely process membership payments. We do not store or have access to your full payment card details. Payment information is handled according to Stripe’s Privacy Policy.
  • APIs: We make use of certain APIs, in order to provide specific features. These APIs may include the following third party services: Telnyx, Google Maps (API key), Meetup (OAuth token), PayPal (email, Client ID, Client Secret), Eventbrite (API key, auth URL, Client Secret), and Zoom (email, Client ID, Client Secret). All third-party services operate under their respective Privacy Policies and Terms of Service.

10. Data Security

We take reasonable steps to protect your information, but no method of transmission or storage is completely secure.

11. Legal Compliance

We comply with applicable federal and state laws regarding the collection, use, and protection of personal information. We may update our practices as necessary to remain in compliance with changing laws. Our website and services are intended for users who are 18 years or older, and we do not knowingly collect personal information from children under the age of 13. Use of our services requires an explicit agreement that the user is at least 18 years of age. If you believe we have collected information from a child under 13, please contact us immediately so we can take appropriate action.
